Roles and access
Access in Onboardly depends on your role in the organization and on which surface someone is using. Employees and client managers do not log in to the panel — they have separate portals.
Roles in the employer panel
| Role | Scope |
|---|---|
| Organization owner | Full access: companies, team, billing, settings, all data. |
| Admin | Managing onboardings, employees and documents within a company. |
| HR | Day-to-day operations: onboardings, files, document requests, settlements. |
| Viewer | Read-only access, no editing. |
You invite users in Team and permissions. Accounts are protected by a password and optional 2FA (TOTP code).
Portals without password login
- Candidate — enters from the onboarding link; authorized by a token in the link and an SMS code.
- Employee — employee portal with magic-link login (email link valid for 15 minutes).
- Client manager — client portal with a password or magic link.
- Legalization partner — legalization portal with a link and a PIN code.
