Employee onboarding
OHS and medical examinations
You send the OHS training for confirmation and register the medical examination certificate in the employee's file.
OHS
You send the employee an OHS training or statement. The employee confirms they have reviewed it, the statement is saved in the file along with a timestamp.
Medical examinations (employment contract)
When the candidate finishes entering their data in the wizard, Onboardly issues a referral for pre-employment examinations. The employee gets their copy by email (it is also in their file), the other copy goes by email to the occupational medicine provider set in Settings → Providers. After the examination you upload the certificate to the file.
The referral lists the harmful and strenuous factors of the position. You fill them in once per position in Positions and works → Factors. If a position has none, the referral waits and a task appears; once you save the factors it goes out on its own. You can resend it from the employee's file, in the Medical examinations section.
Signing after the examination and OHS
The candidate can sign an employment contract only once the medical certificate and the OHS document from the training provider are in the file. Until then the wizard stops before the signature. When you upload both documents, the employee automatically gets an email with a link. They sign the OHS document together with the contract, in one package; both signed files go to the file.Related: Expiry alerts · E-file and documents
