Legalization partner portal

Not every company handles legalization on its own. If the matter is handled by an external entity — a law firm or a legalization agency — you send them a PIN-protected link. Each link leads to a single matter (one employee).

How it works

1. 1The partner opens the link you sent and enters the PIN.
2. 2They see the employee's data, their legalization file, and a checklist of required documents (passport — all written pages, PESEL, residence card and residence decision if the employee has them).
3. 3They upload the missing documents — legalization, residence, work title and others.
4. 4If something needed for legalization is missing on the employer's side, they report the gaps with a single form — the report lands on your dashboard and is emailed to the company's admins.
5. 5They close the matter, providing the permit type, number, validity date and notes.

After the partner closes the matter, the data goes into the file, and you can generate the contract for the employee.

Reporting gaps

When the partner reports gaps, you'll see them in two places: on the dashboard ("Legalization — reported gaps" section) and in the employee's file. You upload the missing documents into the same file the partner has access to and mark the report as resolved — the partner sees the updated checklist on their next visit.

The PIN code

You can set the PIN in two ways: a fixed company PIN (Settings → Providers — one code for all matters, shared with the partner once) or — if no fixed PIN is set — a random per-matter PIN, shown once when the matter is sent. The link goes to the partner by email; you pass the PIN through a separate channel.
