Frequently asked questions (FAQ)

Short answers to the questions new companies most often ask before rolling out Onboardly.

How much does Onboardly cost?

From PLN 0: the Free plan covers 3 onboardings per month with no card. Paid plans (net/month): Starter PLN 99 + PLN 49/onboarding, Growth PLN 299 + PLN 39, Scale PLN 999 + PLN 29. Enterprise is priced individually. Annual billing gives you −10% off the subscription. Details: Pricing.

How does an outsourcing agency bill workers per client and project?

Each end client has its own projects and rates: workers report hours in the portal, the client approves them online, and generating the month creates payrolls and the invoice total separately for each client. Example: the Workflex agency bills 126 workers for 13 clients across 15 projects — a single operator closes the whole month in one afternoon. See Project settlements.

Does the system support hiring foreign workers?

Yes, at no extra charge — three legalization paths: Ukrainian citizens (notification of entrusting work within 7 days), third countries (work permit before the start) and the EU (no permits). KYC verifies documents from 190+ countries, and the e-file enforces the right document checklist for each path. See Employment legalization.

What is the SoCap model?

A way of calculating pay in which the salary is split into a contribution-based base (List 1) and the remaining income exempt from ZUS contributions under § 2(1)(26) of the social-security contributions regulation — confirmed by a final judgment of the Court of Appeal in Warsaw III AUa 1247/24 (19.02.2025). Onboardly generates both lists in a single click. See SoCap model.

Can payrolls and transfers be automated?

Yes. Generating the month creates payrolls for all forms of employment at once (age, the young-person relief and student status calculated from the PESEL number), and the system builds an Elixir (.pli) transfer batch to load into your banking, plus invoices via the Fakturownia or Saldeo API. See Payroll engine and Transfer batches.

How long does implementation take?

You set up an account instantly (Free plan, no card) and can send the first onboarding the same day — the worker completes it in about fifteen minutes. Importing existing workers and your own contract templates typically takes a few days. Rollout requires no IT department. See Quick start.

Is the e-signature in Onboardly legally valid?

Yes. The worker signs on screen, the employer countersigns from the panel, and every signature has an audit trail (timestamp, IP, hash) — documentary form under art. 78¹ of the Civil Code. For demanding cases (an employment contract) an integration with Autenti is available. See Contracts and e-signature.

How does identity verification (KYC) work?

Sumsub scans an ID card or passport and runs a liveness check (selfie), and OCR fills in personal data automatically. The whole thing takes 60–90 seconds and handles documents from 190+ countries. See Identity verification (KYC).

Which HR programs does Onboardly export to?

KEDU / Płatnik (XML for ZUS), Symfonia, Comarch Optima, enova365 (REST API) and CSV/XLSX. One-click export, with no manual re-keying of data. See HR export.

Can I manage multiple companies from one account?

Yes — a single organization handles multiple companies: each has isolated data, separate templates and reports. See Companies.
