Introduction
How it works
Onboardly is a SaaS application with four surfaces: the employer panel, the employee portal, the client portal and the candidate wizard. All of them run on a single, encrypted employee database.
Four surfaces
| Surface | Who uses it | What for |
|---|---|---|
| Employer panel | HR / owner / admin | Starts onboardings, manages files, payroll, settlements, settings. |
| Candidate wizard | new hire | Goes through the process from a link — no account needed (token and SMS-code authorization). |
| Employee portal | active employee | Logs work time, submits monthly reports, downloads bills (magic-link login). |
| Client portal | client manager (outsourcing) | Approves hours and submits hiring requests. |
Hiring flow
- 1The employer creates an onboarding (offer details: position, rate, contract type) and sends the candidate a link.
- 2The candidate goes through the wizard: SMS code → KYC → data → (legalization) → address and bank account → ZUS → (industry documents) → taxes → signature.
- 3The contract is generated from a template and signed remotely; the employer countersigns.
- 4An e-file is created: data, documents, ZUS/PIT settings, signature audit trail.
- 5The employee moves to the active list; from there you can settle work time, payroll, bills and export to HR & payroll software.
The wizard structure is dynamic — legalization and industry-document steps appear only when they are needed (a foreign worker, a regulated industry such as hospitality or transport).
One database, many companies
An account is an organization (tenant). Within it you run one or many companies, and personal data is encrypted with a separate organization key. Details in Key concepts and in Roles and access.
