Employees & time
Active and archived employees
A list of everyone in your organization, split into active hires and an archive. For active people you see alerts about upcoming document expiry dates.
Active and archived
An employee lands on the active list once onboarding is complete and the contract is signed. When the employment relationship ends or is terminated, you move them to the archive — they don't disappear from the system; you keep their document folder and settlement history.
| View | Who it includes | What for |
|---|---|---|
| Active | People with an ongoing employment or contract-of-mandate relationship | Current settlements, working time, expiry alerts. |
| Archived | Ended and terminated relationships | Access to the folder, invoices, and history after the engagement ends. |
Deadline alerts
For every active employee, Onboardly shows warnings about documents that are approaching expiry: medical examinations, OHS training, a foreign worker's residence document, ID card, and the contract end date. The full recurring-reminder mechanism is described in Expiry alerts.
Reminder preferences
For each employee you set whether and how they should receive reminders — for example about an upcoming report deadline or a missing document. Preferences work per person, so you can tailor them to how a specific hire works.
The employee themselves uses the app through the Employee portal — that's where they log working time, submit reports, and confirm receipt of invoices.
Expiry alerts
Keeping track of medical, OHS, document, and contract dates.
